Draft for attorney review. Last updated October 27, 2026.
Terms of Service
These terms are an agreement between you and the operator of Rental Tracker (“we”, “us”). By creating an account or using Rental Tracker, you agree to them. If you use it for a business, you agree on behalf of that business.
1. What Rental Tracker is
Rental Tracker is software for landlords to keep records about rental properties, tenants, rent, expenses, maintenance and documents, and to prepare reports and notices from those records.
2. Not legal, tax or financial advice
Features that describe landlord-tenant rules (for example notice periods, rent increase limits, deposit deadlines) and reports such as tax summaries are general information based on our reading of public law and your own records. They may be incomplete, out of date, or not apply to your situation. You are responsible for following the laws that apply to you. Check anything important with a licensed attorney, accountant or tax preparer. Notice and letter templates are starting points, not reviewed legal documents.
3. Your account
- Keep your sign-in secure. We recommend two-step sign-in, and admins must turn it on before giving others access.
- You’re responsible for activity under your account and for the people you give access to, including what you let them see or change.
- You must be at least 18 and able to enter into this agreement.
4. Free trial and subscription
- New accounts get a 30-day free trial. No payment details are needed to start.
- After the trial, Rental Tracker costs $25 per month for your rentals, unless we agree otherwise in writing. If you don’t subscribe, your account becomes read-only: you can still view and export your data, but you can’t make changes.
- You can cancel at any time. Cancellation takes effect at the end of the period you’ve paid for. We don’t refund partial months unless the law requires it.
- We may change the price with at least 30 days’ notice. The new price applies from your next billing period.
5. Your data
- You own the information and files you put into Rental Tracker (“your data”). You give us permission to store, process and display it only to run the service for you and the people you authorize.
- You can export your data at any time from Settings. If you delete an account, its records and files are deleted from the live service right away; they may remain in our hosting provider’s backups for a limited time before they’re overwritten.
- You’re responsible for having the right to store the information you enter, including tenants’ and applicants’ personal information, and for handling it lawfully. Don’t store Social Security numbers, full bank or card numbers, or consumer reports from tenant screening in Rental Tracker.
You’re responsible for who you share links with (vendor work orders, owner approvals, tenant invitations and application links) and for the information you collect from applicants and tenants. Don’t ask applicants for information the law doesn’t allow you to ask for. Rental Tracker’s rules and suggested dates (such as notice periods, rent increase limits and late fees) are aids, not legal advice, and don’t cover commercial rentals.
6. Acceptable use
Don’t use Rental Tracker to break the law, discriminate against tenants or applicants, harass anyone, upload malware, try to access other people’s accounts or data, or interfere with the service. We may suspend accounts that do.
7. Service availability and changes
We work to keep Rental Tracker available and your data safe, but we don’t guarantee it will be uninterrupted or error-free. We may change or improve features. If we ever shut down the service, we’ll give at least 60 days’ notice so you can export your data.
8. Third-party services
Rental Tracker runs on third-party providers, including Supabase (database, sign-in and file storage) and Vercel (hosting). Calendar subscriptions, email and other apps you connect are governed by their own terms.
9. Disclaimers
Rental Tracker is provided “as is” and “as available”. To the extent the law allows, we disclaim all warranties, including merchantability, fitness for a particular purpose and non-infringement, and any warranty that calculations, reminders or legal information are accurate or complete.
10. Limitation of liability
To the extent the law allows, we aren’t liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, rent, data or business, arising from your use of Rental Tracker. Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim.
11. Indemnity
You agree to defend and indemnify us against claims arising from your data, your use of Rental Tracker, your dealings with tenants, or your violation of these terms or the law.
12. Ending this agreement
You can stop using Rental Tracker and delete your account at any time. We may suspend or end your access if you break these terms or don’t pay. Sections 2, 5, 9, 10, 11 and 13 continue after this agreement ends.
13. Governing law
These terms are governed by the laws of the State of Oregon. Disputes will be resolved in the state or federal courts located in Deschutes County, Oregon, unless the law requires otherwise.
14. Changes to these terms
We may update these terms. If a change is significant, we’ll tell you in the app or by email at least 30 days before it takes effect. Continuing to use Rental Tracker after that means you accept the new terms.
